Validate an e-invoice: how to check XRechnung and ZUGFeRD
An e-invoice can be formally faulty without it being visible at first glance. A validator checks the file against the rules of the norm. Here is how to proceed and which errors are the most common.

Why validate?
Recipients and authorities check incoming e-invoices automatically. If the file is faulty it is rejected or must be issued again. A check before sending saves queries and time, and a check before booking shows whether a received invoice is usable.
How to validate with Wandlix
The check takes a few seconds:
- Choose a file: an XRechnung (XML, UBL or CII) or a ZUGFeRD PDF. With an account you can check up to 20 files at once.
- The file is checked with the official KoSIT validator and the XRechnung rules. Files stay in memory only and are deleted after one hour at the latest.
- Read the result: valid or faulty, with the error messages, the key invoice data and a summary.
Common errors
These points cause error messages most often in practice:
- Leitweg-ID missing for invoices to public authorities (buyer reference)
- Totals do not add up: rounding differences between lines, tax and total
- VAT ID or tax number of the issuer missing
- Tax category does not match the tax rate, or the exemption reason is missing for tax-exempt services
- Incomplete payment details, for example no valid IBAN
- Date in the wrong format or mandatory fields empty
- For ZUGFeRD: profile too small (MINIMUM, BASIC WL) or the XML is not embedded correctly in the PDF/A-3
What the result means
Errors must be fixed, otherwise the invoice counts as formally invalid. Warnings and notes are not grounds for rejection but should be noted. A valid invoice is built correctly in form. That does not mean that amounts, tax rates or the description of the service are right in substance. Validation does not replace a tax review.
More tools around the e-invoice
An e-invoice can be shown as a readable PDF, and you can pull the XML out of a ZUGFeRD file. Create your own invoices as XRechnung or ZUGFeRD PDF and validate them straight away.
Frequently asked questions
- Does checking cost anything?
- Not within the daily free allowance. After that a check uses credits; prices are on the pricing page.
- Are my invoices stored?
- No. Files stay in the memory of the server in Germany only and are deleted after one hour at the latest. Logs contain no file names or contents.
- Which formats can I check?
- XRechnung as XML in the UBL and CII syntaxes and ZUGFeRD as PDF.
- Does valid mean the invoice is correct for tax purposes?
- No. The check establishes formal correctness under the rules of the norm. For tax questions please ask your tax adviser.
